IP Office: Bank Holiday Preparation

This is a quick start guide on IP Office bank holiday preparation.

In order to prepare your phone system for bank holidays there are a couple of things that need to be done. Firstly a time profile with the year's bank holidays should be programmed into the phone system. To ensure that these changes are as accurate as possible the system time source should be updated/checked. Secondly you need to decide where you would like your calls to go during the bank holiday. With this you have a few options - either you have your calls forwarded to mobiles or even a call answering service, or you can have them go straight to voicemail if you decide to go down the voicemail path.

I suggest that when you record the greeting message you use a generic recording with no dates so that this message can be used repeatedly however you can record a new message each time.

To set a time profile you will need:

• Manager software
• System version 4.2 + (I used 8.0 so keep in mind that your process might be slightly different if you are on a different version.)
• Embedded Voicemail, if you use auto attendants in VM pro you need to use a different method.

Creating a time profile:

• Select the time profiles tab on the left and right click new in the “Time Profiles” tab you may already have a time profile for this if so use that but if you’re unsure I advise that you create a new one.
• Right click in the Time Entry List field and select Add Calendar Time Entry or press the Add Date button at the bottom.
• Now select the date you wish to be closed on and add in the hours you are normally OPEN e.g. 09:00 – 18:00, I use these hours so that normal night service is not effected however as I said earlier if you use VM Pro these changes could do harm to your call routing so please ensure that you use embedded VM.
• Save your changes with a merge.
